Summary

This article shows how to set owner emails and add recipients to emails.

Table of Contents

Email notifications can be sent to the job owner on job completion and job failure. Notifications can also be sent to recipients to inform them of job completion or to provide them with a link to download the job package.

This page assumes you have email templates configured. If not, you can still add recipients to the job but you will need to return to the Recipient Settings after adding templates to specify which template each recipient should receive. If no template is set for a recipient, the recipient will not receive an email notification.

Set Owner Emails

Job Owners can choose whether or not to receive notifications regarding the success of the job after each execution. By default the Job Owner does not receive notifications.

  1. If you would like to be notified when the job fails, click the ‘Owner Email on Failure’ dropdown menu and select the email template you should receive on job failure.
    • By default, the OWNERDEFAULT email template is selected.
  2. If you would like to be notified when the job succeeds, click the ‘Owner Email on Success’ dropdown menu and select the email template you should receive on job success.
By default, no email template is selected for job success.

Add Recipients

Recipients can be specified by either first and last name or email address. Those specified by first and last name are considered internal users while those specified by email address are external users. If a link to the job package is included in the email notification, internal users will be prompted to login to the Fountayn system upon clicking the link if they are not already logged into the system. For external users, the download will begin after they click the link without requesting them to login.

Based on the Scheduler Properties defined for the workgroup’s root Enterprise Manager, Recipients may be limited to Internal Users only, thus External Users will not appear on the Add Recipient screen.

Note: If the report contains confidential or protected data, Fountayn recommends using internal users as recipients so that authentication is required to access the data.

  1. Click the ‘+Recipient’ button to add a recipient.

  2. If the recipient is a Fountayn user, enter part of their first or last name into the Internal User Name field, select the appropriate user and click the Add Button.
Only active users are listed for the scheduler. An active user is one that has at least one active tool access.
  3. If the recipient is not a Fountayn user, enter their email address into the External User’s Email Address Field and click the Add Button underneath it.
  4. Continue adding recipients by the methods described in steps 2 and 3.
  5. Once all recipients have been added, click the Close Button.

Set Existing Recipient Details

Once Recipients have been set for a job, you can set the email template and language for the notification or remove the recipient from the job.

Set Recipient’s Notification Type and Language

  1. For each recipient, specify the type of notification they should receive in the Recipient Settings Dialog.
    • By default, the DEFAULT email template is selected.

Note: If no template is specified (i.e. the recipient's template is set to "None"), the recipient will not receive a notification.

  1. If the recipient is not a Fountayn user, specify the language that should be used for their notification.

  2. Those recipients specified as internal users will receive the notification in the language set in their profile if a template for that language exists.

After first adding internal users as recipients, a ‘…’ will appear in the Language column. After saving the Recipient Settings, and re-navigating to the Recipient Settings, the Language column will reflect the recipient’s language setting in their profile. You cannot change the language setting for internal users.

Remove Recipients from Job

When a recipient needs to be removed, click the Remove Button beside the recipient to remove them.
