This article describes the content of the Access Change e-mail template.

The Access Change e-mail template is sent to a user when changes are made to their Fountayn system access. Usually, this notification indicates access has been granted to a new study.

Only the portions of the email marked in yellow can be easily modified. If modifying other portions of the email template, view the page related to customizing email templates.

Context Keys

Context Keys are used to access data from the system. Examples of their use can be seen in the following template. These context keys can also be added to the email template or relocated within the template.

  • $!{recipient}– Recipient’s name
  • $!{userName} – User’s username
Take care when using the following context keys in ways that differ from the standard setup in the email template. These keys will return unexpected results if not contained within a 'foreach' loop.


  • $sites – list of sites accessed through a ‘for’ loop
  • $site – one site from $sites that is accessed through a ‘for’ loop
  • $roles – list of roles accessed through a ‘for’ loop
  • $role – one role from $roles that is accessed through a ‘for’ loop
  • $!{study} – Name of the study as it is entered in the Protocol question on the study’s Setup form in Trial Manager
  • $!{product} – Name of the product as it is entered either in the Protocol question on the products’s Setup form in Trial Manager or the workgroup’s name in Enterprise Manager
Note: Only one of either the $!{study} or $!{product} keys will be included in the email to the user. If access to a single study or site is given, the study name will be displayed. Otherwise the product name is displayed.
