With standardized visits, forms can be designated as visits that are then viewable in the Visit Manager and the calendar. Standardized visits also support the entry of expected visit dates and visit windows to facilitate planning.

Before standardized visits can be used, they must be configured on the Forms-Template worksheet, and permissions must be granted on the Roles worksheet.

Roles

To use standardized visits, one screen related to the Visit Manager must be included on the Roles worksheet.

Add Visit Manager Access

1. Action: Enter “Visit Manager.”

2. Actions Required: Leave this field blank.

3. Screens Required: Enter “visitManager.”

4. Select the roles that should be able to view the Visit Manager by placing an ‘X’ in the appropriate columns.

Forms – Template

For each form that should be a visit, several fields related to visit dates should be considered. The Actual Date, Expected Date, Begin Window and End Window fields, if used, should include a path to a question with a date value. These fields can also accept an optional offset.

Writing Offsets

When configuring visits, offsets are used to designate that a visit can occur a specified amount of time later. For example if the Expected Date for Visit 2 were #cycle1.c1d1.visitdt + 7|d, it would mean that Visit 2 is expected to occur seven days after #cycle.c1d1.visitdt.

The basic formats for writing dates with offsets are [previous visit date path] + [number]|[unit] and [previous visit date path] – [number]|[unit].

The following is a list of acceptable units for offsets and their meaning:

  • y or Y – year
  • M – month
  • d or D – day
  • h – hour
  • m – minute
  • s – second
  • S – millisecond

Examples

#cycle1.c1d15.visitdt + 7|M

This visit occurs seven months after date specified in #cycle1.c1d15.visitdt.

#cycle1.c1d15.visitdt – 3|d

This visit occurs three days before the date specified in #cycle1.c1d15.visitdt.

#cycle1.c1d22.visitdt + 18|h

This visit occurs 18 hours after the date specified in #cycle1.c1d22.visitdt.

Configure Visits

1. Visit Name: Enter a visit name for the form.

Example: Visit 2

2. Actual Date: Enter the question path to the visit date.

Example: #cycle1.c1d1.visitdt

3. Expected Date: If an expected date should be used, enter the question path to a visit date (usually the previous visit) followed by the offset.

NoteExpected Dates appear in the calendar while Begin and End Windows do not.
Example: #cycle1.c1d1.visitdt + 7|d

4. Begin Window: If a Begin and End window should be used, enter the question path to a visit date followed by the offset.

5. End Window: If a Begin and End window should be used, enter the question path to a visit date followed by the offset.
