Summary

This article describes how to check activation status, activate a subject, and deactivate a subject who has been randomized.

These tasks are generally completed by the Coordinator Role.

Check Activation Status

  1. Inside of a study, select 'Subjects' from the Navigation Menu.
  2. Select the subject that you want to randomize.
  3. In the Actions tab, select ‘Check Activation Status.’


The system will display one of two messages.

If the subject is ready for activation, the system will inform you as such.



If the subject does not meet all activation criteria, the system will indicate which criteria have not been met.



Note: These messages depend on the information provided by the Software Implementation Specialist (SIS) in the DA file.


  1. Click the ‘OK’ button to return to the Subject’s Casebook.

Randomize Subject

During this Randomization process, if the trial is configured to use expiration date deltas for assignments, the system will take drug expiration dates into account and not assign any drugs that are about to expire.

  1. In the Subject’s Casebook, select ‘Randomize’ in the Randomization Actions menu.


Note:  The terms ‘Activate’ and ‘Randomize’ are used interchangeably.



The system will display a warning message asking for confirmation to activate the subject.



  1. Click the ‘Yes’ button to activate the subject or click the ‘No’ button to return to the Subject’s Casebook without activation.
    • If you click the ‘Yes’ button and the subject is ready for activation, the system will inform you of a successful activation.
    • If the subject is not ready for activation, the system will indicate which criteria have not been met.
Note: If you randomize patients and then delete those patients without de-randomizing them, the Activation ID will reset which may cause duplicates in the schedule. This case will not normally happen in a production environment but may appear in testing/design environments.


  1. Click the ‘OK’ button to return to the Subject’s Casebook.

Deactivate Subject

  1. To deactivate a previously activated subject, select ‘Deactivate’ in the Randomization Actions menu.
  2. Complete the Deactivate Form.
  3. Click the ‘Yes’ button to deactivate the subject.
  4. Confirm the deactivation by clicking the ‘yes’ button.
    • The system will inform you that the deactivation was successful.
  5. Click the ‘OK’ button to return to the Subject’s Casebook.
