Once a course has been added to a workgroup, users must be registered for the course. Course registrations can be modified at the course and user level as described in the following sections.
Modify Registrations at the Course Level
Add Users to a Course
- On the ‘Manage Courses’ screen, click the name of the appropriate course. Available courses include those created at the current workgroup, as well as any parent or grandparent workgroup.
- On the Course Detail screen, click the ‘Add Registration’ tab.
- On the ‘Add Registration’ screen, check the checkbox beside all users that you want to add to the course.
- This screen lists all the users who are part of the current workgroup and who have not already been assigned the course.
- Click the ‘Add’ button.
Remove Users from a Course
- On the ‘Manage Courses’ screen, click the name of the appropriate course.
- Check the checkbox beside each user who should be removed from the course.
- On the Course Detail screen, click the ‘Remove Registration’ tab.
- On the ‘Remove Registration’ screen, confirm that you want to remove the selected users by clicking the ‘Remove’ button.
Modify Registrations at the User Level
Add Courses to a User
- On the ‘Manage Courses’ screen, click the ‘Manage Registrations’ tab.
- Click on the user whose registrations you want to manage.
- On the next screen click the ‘Add Course’ tab.
- On the ‘Add Course’ screen, check the checkbox beside each course that the user should be added to.
- Click the ‘Register’ button.
Remove Courses from a User
- On the ‘Manage Courses’ screen, click the ‘Manage Registrations’ tab.
- Select the user whose registrations you want to manage.
- On the next screen check the checkbox beside each course that you want to remove.
- Click the ‘Remove Course’ tab.
- On the ‘Remove Course’ screen, confirm the removal by clicking the ‘Remove’ button.
Additional Registration Actions
Export Registrations
The table displayed on the ‘Manage Registrations’ screen can be exported to an excel document. The screen shows all registrations for members of the current and child workgroups as well as all CTMS members. Registrations with no “managing workgroup’ listed indicate that the user completed training for a workgroup outside the Enterprise Manager tree you are currently accessing.
Note: Trainings available to users via study prerequisites will not appear on this screen until after the course has been started.
Export Selected Registrations
- On the ‘Manage Courses’ screen, click the ‘Manage Registrations’ tab.
- Check the checkbox beside each registration that you want to export.
- Click the ‘Export Selected Registrations’ tab.
Export All Registrations
- On the ‘Manage Courses’ screen, click the ‘Manage Registrations’ tab.
- Click the ‘Export All Registrations’ tab.
View Registration History
The Registration History records when the billing status changes and when the completion status, success status and completion date are updated.
- On the ‘Manage Courses’ screen, click the ‘Manage Registrations’ tab.
- Check the checkbox beside all registrations for which you would like to view registration history.
- Click the ‘View History’ tab.
- Click the ‘Export’ button to export the history to an excel file.
Batch Export of Certificates
We can batch export training certificates in PDF format from 1 up to 100 at a time, for one or more users in different courses. From the Manage Registrations screen, perform the following steps:
- Click one or more checkboxes next to the desired user registrations from the table
- Select the Download Certificates tab
A dialog prompts you to save or open the zip file containing your certificates.The system generates a zip file containing training certificates in PDF format for each of your registration selections with the naming convention (username.coursename). The .zip file default naming convention is a time stamp detailing [year >> milliseconds]:
- yyyyMMddHHmmssSSS.zip
You must select at least one (1) registration to start the download process or the system displays a No Item Selected prompt.
