This article describes the Exports tab of the Fountayn application menu which gives an overview of the available exports and initiates an export for a study.

The Exports tab of the Fountayn application menu gives an overview of the available exports and initiates an export for a study. While these exports can consist of the complete set of available data, meaning all subjects and all forms for each subject, there is also an option to export a subset of the data.

Subset exports can be executed for a selection of subjects and/or for a selection of forms.

Preselect Data for the Subset Export

There are two ways to preselect data and start the subset export.

Export Selected Subjects

  1. In the Subject Manager select the subjects you want to include in your export.



Note: The Subject Manager allows only a limited number of subjects to be selected at one time. Depending on your paging preference the number of selectable subjects may be up to 100. It is also possible to run the subset export on all the subjects that are filtered from the Subject Manager.



  1. From the “Choose an Action” drop down menu, choose “Export Data: Subset Export.”
  2. Click on the “Go” button.

You will be forwarded to the Export Selection page for the selected subjects.


Export Selected Forms for a Single Subject

When you only want to export selected forms for a single subject, you can start this from the subject’s form view.

  1. In the Subject Manager, select the subject with the forms you want to export by clicking on the subject’s name.
    • You will be directed to the form summary for that specific subject.
  2. Check the checkboxes beside the forms you want to export.
  3. From the “Choose an action” drop down menu, choose option “Export Data: Subset Export.”
  4. Click on the “Go” button.

Export Selection

On the Export Selection page you select the export type and make modifications to the dataset of the export. The form is divided into three parts: the export type, the forms to include in the export, and the option of modifying the selected subjects that will be exported.

Complete Export Data Tables

  1. In the table of available exports, select the type of export that you want to run.


Note: The list of available export types depends on the trial configuration.



  1. If the table of forms is accessible, check the checkboxes beside all the forms that you want to include in the export. Otherwise, continue to step 3.



Note: It may be possible that one subject has form(s) that are no longer available due to Mid-Study Changes. Such forms can only be included in a subset export when the subset export is for a single subject


  1. Select the subjects to include in the export by doing one of the following:
    • If only the selected subjects should be exported, leave the radio button beside ‘Selected Subjects’ selected.
    • If you want all filtered subjects to be included in the export, select the ‘filtered subjects’ radio button.
  2. Click on “Export Data” button to start the export.
    • You will be redirected to the exports page for the application.

As any other export, the execution is performed in the background. You do not have to wait on the termination of the export. You may choose to leave the page or even logoff from the application, and later on you can return to the Exports page and access the exported results.

When an Export Won’t Start

The Fountayn platform only allows the execution of a single export of one type per application.
For example, when a PDF archival export is currently running for one application, you cannot start a second PDF archival export concurrently for the same application.
When you want to start another export when one is currently running, an error message will inform you that such action is not possible at that time.

Export Results

Fountayn export result files can be accessed from the Exports tab on the application menu. Subset export results are marked with a subset icon.

Export Information

  1. Click on the subset icon
    • The system will display information about the subset export that is similar to the information shown in the following image.
    • To download the associated export archive from the export information page, Click on “Download Export Archive”.


Missing Export Information

The Fountayn platform only keeps a limited number of 3 export archives. The number can be configured with the Depth of an export within the DataArchitect on the Exports tab. If a Depth is not defined, one export archive will be kept by default. In general, the oldest export results are deleted when a new export is run.

It is possible that an export archive has been deleted, but you still have a page that holds a link to the archive and export information. Clicking on it will display a notice that the archive is no longer available.
