This article describes how to step through the Dynamic Status/Groups process.

Selected roles can be enabled with the ability to create dynamic statuses, assign those statuses to subjects, and manage existing statuses. These statuses can be used to group subject records into various categories for reporting purposes. This document describes how to step through the Dynamic Status/Groups process.

Once configured, dynamic statuses can be viewed in the Subject Manager.

Create a Dynamic Status

This section describes how to create dynamic statuses which involves naming the new dynamic status. The Manage Dynamic Status section describes how to define the set of options for the status.

  1. On the Study Homepage, hover the mouse over the ‘Actions’ tab and select ‘Manage Dynamic Status'.
  2. Enter a name for the new Status, then click the ‘Add’ button.


Manage Dynamic Status

This section describes how to configure and edit dynamic statuses, which includes adding and removing Status options from new or existing dynamic statuses.

  1. Click the ‘Edit’ button beside the appropriate dynamic status.
  2. Click the plus sign to add more Status options and the minus sign to remove them.
    • The remove button will remove the last option added.
  3. Enter data values and display values for each status option.


Note: The Data Value should be unique and is recommended to be similar to the Display Value. The Display value is displayed within the system and is included in exports.


Example

This feature could be used to group subjects into analysis groups. A set of subjects all randomized at the same time could be assigned to one Analysis Group. If the trial had four sets of randomized subjects, the setup may look like the following.


Assign a Dynamic Status

This section describes how to assign dynamic statuses within Subject Manager.

Note: These statuses must first be created before being assigned.


  1. Access the Subject Manager by clicking the Subjects tab within the trial.
  2. Check the checkbox beside the subjects to which the dynamic status should be assigned.
  3. In the actions dropdown menu, select ‘Assign Dynamic Status.’
  4. Click the ‘Go’ button.
  5. Select the desired status to be assigned from the dropdown menu and click ‘Continue.’
  6. Select the status option value from the dropdown menu.
  7. Click the ‘Save’ button.
  8. Click the ‘Manage Subjects’ link to return to the Subject Manager.

Clearing a Dynamic Status

If your role has the required permissions for this functionality, follow the steps below to clear dynamic statuses.

  1. In the Subject Manager, check the checkbox beside all subjects for which the status option should be removed.
  2. In the actions dropdown menu, select ‘Clear Dynamic Status.’
  3. Click the ‘Go’ button.
  4. Select the desired status to be cleared.
  5. Click the Remove button. 
  6. Click the ‘Manage Subjects’ link to return to the Subject Manager.
