This article describes tracking of all queries created at the site using the query manager.

The Query Manager assists in the tracking of all queries created at the site. Queries are generally created by Monitors and Data Managers when a data item needs further clarification.
The workflow process for query reviews varies based on study configuration. Based on this configuration, queries can enter some or all of the following states:
- Unconfirmed
- Declined
- New
- Answered
- Reopened
- Closed
Access Query Manager
From within a study click ‘Queries’ in the Hamburger Menu to access the Query Manager.
View, Edit or Respond to Specific Query
Note: Queries on Locked forms cannot be changed. They can only be viewed.
Access Specific Query
In Query Manager, click the Query ID button next to the appropriate query to access the query’s Details Screen. On the Details Screen, you can update the query text, address the query, change the query’s status and view the query’s audit log.
Update Query Text
- On the query’s Details Screen, edit the text in the Query Information section.
- Click the ‘Update Query Text’ button.
The query text will be updated.
Address Query
This action should be used when answering a query and changing the value for the question. If you are not changing the value of the question, consider answering the query instead.
- On the query’s Detail Screen, click the question link to view the question pertaining to the query in a new browser window or tab.
- Change the value on the form and enter a reason for change when one is requested.
- Click the ‘Save Form’ button to save the changes.
- Close the browser window or tab to return to the query’s Detail Screen.
- On the query’s Detail Screen, enter text into the text field in the Response Information section.
- Click the ‘Query is Addressed’ button.
The query’s status will change to ‘Answered.’ The ‘Query is Addressed’ button will become an ‘Update Response Text’ button so that you can continue to make edits to the response text as needed.
Change Query Status
- On the query’s Detail Screen, click the radio button beside the appropriate status. enter a comment in the Query Status section.
- Enter a comment in the Query Status Comment text area.
- Click the ‘Update’ button.
The query will have the new status.
Download Query as a PDF
The query can be downloaded as a PDF on the query’s Detail Screen by hovering the mouse over the green Actions tab and selecting ‘Download PDF.’
Multiple queries can be downloaded as PDFs at one time within Query Manager by checking the checkbox beside the appropriate queries and selecting ‘Download PDF’ from the actions dropdown menu.
Manager-Level Actions
Certain actions are provided to the user by way of the dropdown actions bar in the Manager Table. These actions are differentiated from those available in the green ‘Actions’ tab at the top-right corner of the screen in that they are applicable to both individual items and groups of items selected from the table. These are described below:
Note: Queries on Locked forms cannot be changed. They can only be viewed.
Note: Some studies may be designed to limit certain actions to specific roles or individuals. For example, some studies require the query creator to also be the query closer. A warning will appear if you do not have the required access.
Answer Queries
This action should be used when answering a query without changing the value of the question. If changing the value of the question, consider addressing the query instead.
- In the Query Manager, click the checkbox next to the query that you would like to answer.
- Choose ‘Answer Checked Queries’ from the dropdown menu.
- A second dropdown menu will appear to the right. Select ‘Checked Rows’ or ‘All Filtered Rows’.
- Click the ‘Go!’ button to the right of the second dropdown menu to apply the change.
Close Queries
Once a query has been satisfactorily responded to, the query can be closed.
- In the Query Manager, click the checkbox next to the query that you would like to close.
- Choose ‘Close Checked Queries’ from the dropdown menu.
- A second dropdown menu will appear to the right. Select ‘Checked Rows’ or ‘All Filtered Rows’.
- Click the ‘Go!’ button to the right of the second dropdown menu.
- If ‘All Filtered Rows’ is chosen, you will be redirected to a confirmation page. Confirm that the filtered criteria is correct and click ‘Yes’ to complete the action or ‘No’ to cancel the action.
The Query Status will change to ‘Closed.’
Reopen Queries
- In the Query Manager, click the checkbox next to the query that you would like to reopen.
- Choose ‘Reopen Checked Queries’ from the dropdown menu.
- A second dropdown menu will appear to the right. Select ‘Checked Rows’ or ‘All Filtered Rows’.
- Click the ‘Go!’ button to the right of the second dropdown menu.
- If ‘All Filtered Rows’ is chosen, you will be redirected to a confirmation page. Confirm that the filtered criteria is correct and click ‘Yes’ to complete the action or ‘No’ to cancel the action.
- On the ‘Reopen Query – Comments’ screen, enter a comment to explain why the query is being reopened.
- Click the ‘Update’ button to reopen the query.
The Query Status will change to ‘Reopened’. The comment is visible in the query’s audit log.
Download Queries as PDF
- In the Query Manager, click the checkbox next to the queries that you would like to download.
- Choose ‘Download PDF’ from the dropdown actions menu in the manager table.
- A second drop down menu will appear to the right. Select ‘Checked Rows’ or ‘All Filtered Rows’.
- Click the ‘Go!’ button to the right of the second dropdown menu. You will then be prompted to save your download.
Available Columns and Filter Types
The Query Manager has many columns that can be dragged and dropped between the Manager and Filter Tables. The values of certain columns also serve as links to the Casebook. The following table defines each column, the actions made available through the column value and the filters and sorts available.
