Summary

This article describes the form level actions available depending on the configuration of the study.

Form level actions appear between the Subject Bar and the form or Form Summary. The actions available depend on the configuration of the study. Additional actions can also be performed within the Form Summary.


Form Level Actions Bar

Similar Forms

The ‘Similar Forms’ button appears when forms exist that are similar to the form currently being viewed. By clicking the Similar Forms button, you can view a list of similar forms and quickly navigate to them.

  1. On a form with similar forms, click the Similar Forms button.
  2. Select a form from the list to navigate to the form.

Attach Files

Files included in the workgroup’s File Manager can quickly be added to a subject’s forms with the ‘Attach Files’ button.

Note: Before files can be added to a casebook, they must be created within a site’s folder in the File Manager. To create this folder you must first upload a file to the site.


  1. On the form level actions bar click the Attach Files button.
  2. From the list of files, select those you wish to use and click Attach.



Upload File

If the file has not already been added to the workgroup with the File Manager, files can be uploaded directly to the form with the ‘Upload File’ button.

  1. Click the Upload File button.
  2. On the Upload File screen, browse to the appropriate file.
  3. Click the ‘Upload’ button.


Based on the File Properties defined for the workgroup’s root Enterprise Manager, the user can receive errors upon file uploads if the file does not meet the properties defined. When File Properties are defined and a user attempts to upload a file with an extension that has been defined on the Blacklist or is not an approved extension defined on the Whitelist, the user will receive the following error and the file will not be uploaded.


File Access Actions

After a file has been attached or uploaded, clicking on the file link will trigger the display of the File Access dialog. This window displays the file name, file size, and additional options depending on role permissions.

All users who can access the form will have the option to download the file attachment by clicking the Download button. If multiple files are attached, a Next button will be present. These are the only options for users whose roles are not enabled for uploading/attaching files.


Users with roles enabled to upload/attach files, will have access to Download the file, Remove the file, and navigate to the Next file (if present).

If the form containing the attachment or upload has subforms, the File Access dialog will contain additional options to Provide File to Subforms. These options make the file accessible in the form level actions bar of any selected form.

To provide file access to a subform, select the desired form(s), leave an optional comment, then Click Close (to save and close the dialog) or Next (to save and move to the next image).

By default, all non-dynamic (non-repeating) subforms will be available to select. The list of available options can be configured by Software Implementation Specialists (SIS) using the provideFiles App Property.

Changes to the above settings can be made by launching the File Access dialog, updating the comment or selection(s), and clicking Close or Next.

Note: Non-dynamic subforms will appear in the list even if they have not yet been created. If selected in the dialog, the file link will be accessible on the subform if and when subsequent data entry triggers its creation.


Form level audit entries are created for uploading, attaching, removing, commenting, and updating subform access. To access audits from the source form, click the audit trail icon, then the filter. Choose Document audits.

 

To access audits from a subform, click the audit trail icon, then the filter. Filter for Document and set to Include Inherited Audits.


To access from the Audits Manager, first go to Form Audits:

Additional Form Level Actions

Additional form level actions can be found between the Form Level Actions Bar and the form or form summary.

View Audit Trails

The View Audit Trails button is located to the left of the form name.

  1. Click the ‘View Audit Trails’ icon to view the audit trail for the form.
Note: Audit Trails can also be viewed for each question via question level audit icons.

  1. To filter the Audit Trail, click the Filter icon beside the View Audit Trail icon.
  2. To hide the Audit Trail table, click the ‘View Audit Trails’ icon again.

Pin and Unpin Metadata Statuses

By default metadata statuses are accessed by clicking the arrow beside a form name or question. These metadata statuses can also be pinned to the form so that they are always displayed.


This image demonstrates how one would normally change the frozen/unfrozen status of a form or question.


After pinning, you can modify this metadata status by clicking the icon that becomes pinned to the form.

Pin Metadata Statuses

  1. Click the arrow beside any form name.
  2. In the metadata status menu, click the ‘Unpinned’ option beside the appropriate status to pin it.

The metadata status icon will now appear beside all form names and questions for all forms.

Unpin Metadata Statuses

  1. Click the arrow beside any form name.
  2. In the metadata status menu, click the pin to remove it from the form.



The metadata status can now only be accessed by clicking the arrow beside the form name or question.

Apply Form Level Metadata Statuses

Metadata Statues for the currently viewed form can be accessed and applied based on the study configuration and the currently available roles. The location of metadata status information depends on whether or not the metadata statuses have been pinned to the form.

Unpinned Statuses

This section describes how to view and apply metadata statuses that are not pinned to the form.

  1. Click the arrow beside the form name.
  2. Select a metadata status from the list to apply it to the form.


Pinned Statuses

This section describes how to view and apply metadata statuses that are pinned to the form.

  1. Locate the metadata status icon beside the form name.
  1. Use the Metadata Status key to determine if the statuses have been applied.
  2. To apply the status, click the icon.

You will be notified if a status cannot be applied due to your current permissions.

View Hidden Questions

All Dependent Questions configured for a form can be made visible with the View Hidden Questions action.

  1. Click the arrow beside the form name.
  2. Select the ‘View Hidden Questions’ option.


All hidden questions will remain visible until the form is reloaded.

Export Forms

Forms can also be converted to PDF format with the ‘Standard Form’ action.

  1. While viewing the appropriate form, hover the mouse over the green ‘Actions’ button.
  2. In the Exports section, select ‘Standard Form.’


The form will open in a new window or tab in PDF format.

Answer Status/Auto Complete

Upon saving a form at the single study level, you now have the option to set the Answer Status progress bar to automatically update to Completed. Instead of having to perform the step manually, a new property in the Data Architect file allows you to skip the In Progress step. Configure this new feature in the Data Architect file on the App Properties tab.



You no longer need to select the Choose and Action menu – Press Go!, it is automatic once you save your changes. Note that the default configuration is (false), but upon saving the enableCompleteStatus property to (true) and reconciling a trial:

  • Forms save to Complete regardless of whether or not every field contains a value
  • Option applies to all the Answer Status forms across the study
  • Existing forms or questions already In Progress are automatically set to Complete

For container forms that are partially completed, the status in the Export and Patient Management report will continue to display In Progress.

Note: Unlock any forms or questions that are In Progress prior to running reconcile with this feature enabled, to apply the Complete status properly.
