This article covers how to access the monitoring visits form and the default field available.

The plans for each study’s monitoring templates are managed through the Monitoring Visits form. It is from this screen that Monitoring Templates are defined for each monitoring visit type along with the ability to track the expected versus actual number of monitoring visits for the study.

 

Access Monitoring Visits Form

The Monitoring Visits form for existing studies can be access by selecting Monitoring Visits under the Monitoring Plans sub-menu under the Clinical Plans sub-menu for the study.



Default Fields

The Monitoring Visits form contains by default the Monitoring Visits Table.

The Monitoring Visits table will contain a row for each Monitoring Type defined on the Monitoring Type Managed List. By default the Monitoring Type Managed List options are Evaluation, Initiation, Interim and Close-out, however more may be added by a CTMS Administrator as needed. If a Managed List option for Monitoring Type is marked Hide When Unused for its visibility status the Monitoring Visits table will show the row for existing studies but new studies will not contain the row.


Monitoring Visits Table

The Monitoring Visits table contains four columns:

  • The Visit Type column displays the label for each Monitoring Type defined in the managed list section.
  • The Expected Number of Visits column is to track the number of expected visits for each type of monitoring visits for the study.
  • Actual Number of Visits columns will display the actual number of visits that have occurred for each monitoring visit. The Actual Number is calculated based on the number of Site Visits recorded for each monitoring type across all sites in the study.
  • Visit Report Template contains a dropdown select of all Active Visit Report Templates for each visit type in the Site Visit Report Template Manager. The Site Visit Report Template that is selected determines the Visit Report that appears under Site Visits for that study.

Note: Templates can be changed mid-study, however, changing a report template on an active study will change the templates of any unlocked reports.
