This article covers the uses of the personnel manager.

The Personnel Manager allows for the storage and tracking of all personnel associated to studies, sites and vendors. The Personnel Manager gives a high level overview of those currently stored in the system. Personnel created here will be available to associate with studies, sites and vendors.
It is best practice to create the personnel record prior to creating sites and vendors as personnel can be associated to the sites and vendors as their site and vendor records are created.
Within the Personnel Manager, a Fountayn user account can be created based on the Personnel form data.
Access Personnel Manager
From within the CTMS platform, click the expandable menu to the left of the screen and select Personnel.
Available Columns and Filter Types
The Personnel Manager is comprised of columns that can be dragged and dropped between the manager and filters menu. The values of the Personnel Name column serve as a link to the records they represent. For more information see the article on CTMS Managers.
The following table defines each column, the actions made available through the column value and the filters and sorts available.

Actions
The Actions Menu can be expanded by clicking and contains the following options.
Add Personnel
By clicking the Add Personnel action, you will be directed to a new Personnel form that can be saved to add a new record to the Manager.
Exports
By clicking the options Excel or CSV, the system will provide an export of the information currently displayed in the Manager table in the chosen format. The content of this export will be based on the filters applied to the table at the time of export.

The Choose an Action – Press Go dropdown can be expanded by clicking and contains the following options.
Fountayn Account Generation
A Fountayn user account can be created for any personnel record (with completed fields Name, Email, Country, Language and no alpha characters in the phone number field) within the Personnel Manager. The system will generate the account and send email notification to the personnel record upon the account generation. When an account is generated from CTMS, the user becomes a member of the workgroup where the CTMS tool resides.
The CTMS user generating the account must have administrator access to the Enterprise Manager on which the CTMS tool is located or the option to generate the account will not appear.
Steps to Generate an Account:
- Navigate to the Personnel Manager.
- Select the check box by each personnel record for which you wish to generate an account.
- Select Generate Account from the Choose an Action –Press Go dropdown.
- Select Go!
- The Generate Account Dialog will appear.
- If the personnel record already has a Fountayn account linked to its record, the name of the personnel will appear in the Linked Personnel section and a new account will not be generated for the personnel.
- If the personnel record does not have a Fountayn account, the name of the personnel will appear in the Unlinked Personnel section.
- Selecting OK will generate a Fountayn account for the users listed under Unlinked Personnel. The system will generate the user name.
- Selecting Cancel will close the dialog and no accounts will be generated.
Deletion
A Personnel record can be deleted and restored through the Personnel Manager.
If a Personnel record is linked on any of the following forms through the Personnel Select Field, the personnel record cannot be deleted.
- Data Management Form
- Regulatory Body Form
- Vendor Audit Form
- Vendor Form
- Site Form
- Study Personnel
- Study Site Personnel
- Study Vendor Personnel
The connection must be removed before the record can be deleted.
To Delete
To delete a personnel, the Active Personnel Status must be set to Active Only.
- Select the checkbox by the Personnel record.
- Select Delete Checked in the Choose An Action Press-Go dropdown.
- Select Delete button on the Confirmation Page.
To Restore
To restore a deleted personnel, the Active Personnel Status must be set to Deleted Only.
- Select the checkbox by the Personnel record.
- Select Restore Checked in the Choose An Action Press-Go dropdown.
- Select Restore button on the Confirmation Page.
